Why Do We Need this Procedure?

This WX Procedure formalizes the organization and entitlement of social events held in Lausanne and Neuchâtel by Workplace Experience Switzerland.

This WX Procedure may be reviewed and updated anytime according to business needs.

Who Must Follow this Procedure?

This WX Procedure applies to permanent and fixed term employees of the Company and other Swiss Entities, consultants, and certain categories of third-party workers as defined by the Company and pensioned retirees. 

Definitions

Social events:  

Every year, the Company organizes a variety of social events in Lausanne & Neuchâtel for permanent and fixed term employees, consultants, and certain categories of third-party workers to benefit from an enjoyable moment to socialize as a form of appreciation and thank them for their contribution towards the Company. Programs are built in accordance with Company practice for a large number of participants at the same time.

The format of these social events may be reviewed/adapted any time by WX upon business needs.

Mandatory Procedure

The following social events are organized on a yearly basis:

Summer event: a unique outdoor moment in the year where permanent and fixed term employees, consultants, certain categories of third-party workers and pensioned retirees can come along with their family. 1 event is dedicated to Neuchâtel employees and 1 is dedicated to Lausanne employees.

Permanent, fixed term employees, consultants, certain categories of third-party workers can come along with 1 partner, 1 Au-Pair/Babysitter and max 4 kids.

Pensioned retirees can come along with 1 partner and max. 4 kids.

Long Service Award: every two years, a unique moment dedicated to Swiss permanent employees, expatriates based in Switzerland at the time of the event, to celebrate their milestone within the Company. It aims at recognizing loyalty and dedication over the years, from 20, 25, 30, 35 to 40 years within the Company.

The employee is entitled to invite one person of his choice.

Year-End-Party: a festive moment at the end of the year dedicated to permanent and fixed term employees, consultants, and certain categories of third-party workers. 1 event is dedicated to Neuchâtel employees and 1 is dedicated to Lausanne employees.

Minors are not allowed to access this event.

Social events are organized mainly for the local population (Lausanne events for Lausanne residents, Neuchâtel events for Neuchâtel residents). However, it is possible to participate either to the Lausanne event or Neuchâtel one, but not to both. Entitlement might be adjusted according to space configuration and limited number of participants for security & safety reasons.

  
Pensioned retirees’ gift: only for pensioned retirees of Lausanne and Neuchâtel, with a primary address in Switzerland, a “End of year” gift (value max. 150$) is sent once a year in November-December. Retirees who choose the "Capital" option do not appear on the Pension Fund list anymore and are therefore not entitled.

Steps to Follow

Registrations for each social event must be processed by the entitled employees directly through the dedicated events web tool. For participants who have no access to the web tool, they may contact the Service Center via MyPMI.

Registrations are not required for the “Pensioned retirees’ gift”.

Exception Handling

Exceptions to WX 03 Social Events procedure must be approved by the Sr Manager Workplace Benefits.
